Terms & Conditions

1. Applicability

1.1 These Terms and Conditions apply, unless otherwise agreed in writing, to all verbal and written offers, agreements, services, and related activities provided by Arya Armonica, including preparatory and execution-related activities.

2. Company Description

2.1 Arya Armonica is an independent practice offering psychosocial guidance, coaching, counselling, relationship therapy, workshops, training, and personal development services.
2.2 Services may include an integrative and holistic approach using various methodologies and therapeutic frameworks.
2.3 Arya Armonica is registered with the relevant Chamber of Commerce and operates in accordance with applicable professional standards and regulations.

3. Definitions

3.1 Service Provider: Arya Armonica, providing coaching, counselling, therapy, workshops, and related services.
3.2 Client: The individual or organization entering into an agreement with Arya Armonica.
3.3 Agreement: Any verbal or written arrangement concerning the agreed services.
3.4 Offer / Proposal: Any quotation, intake agreement, or service proposal communicated verbally, by email, or in writing.

4. Execution of the Agreement

4.1 Arya Armonica shall perform the services to the best of its knowledge, expertise, and professional ability.
4.2 The Service Provider undertakes an obligation of effort, not an obligation to achieve specific results.
4.3 The Client is responsible for providing all necessary and accurate information required for the proper execution of the services.
4.4 By confirming the agreement, the Client consents to the storage and use of personal contact information for administrative purposes.
4.5 If required information is not provided in time, Arya Armonica reserves the right to suspend services and/or charge additional costs resulting from delays.
4.6 Arya Armonica is not liable for damages resulting from inaccurate or incomplete information provided by the Client.

5. Prices and Offers

5.1 During the introductory or intake session, both parties determine whether they wish to enter into an agreement. This may also occur by telephone or email.
5.2 Unless otherwise agreed, payment obligations commence from the first scheduled session.
5.3 All offers and quotations are non-binding and valid for 15 days unless stated otherwise.
5.4 Quotations are based on the information available at the time they are issued.
5.5 An agreement becomes binding once accepted verbally or in writing by the Client and confirmed by Arya Armonica.
5.6 Services for which no fixed fee has been agreed will be invoiced based on actual time spent and applicable rates.

6. Payment Terms

6.1 Payment may be made immediately after each session or via invoice, depending on the agreement.
6.2 Sessions cancelled less than 24 hours in advance, or missed without notice, will be charged in full.
6.3 Invoices must be paid within 15 days of the invoice date.
6.4 Any collection or legal costs arising from overdue payments are the responsibility of the Client.
6.5 Objections regarding invoices must be submitted in writing within 14 days of the invoice date.

7. Duration and Termination

7.1 Coaching or therapy agreements may be terminated or extended at any time by mutual consent.
7.2 Termination of the agreement does not release the Client from outstanding financial obligations.
7.3 Arya Armonica reserves the right to terminate services immediately if the Client fails to meet payment obligations within the agreed timeframe.

8. Registration and Payment for Workshops & Training

8.1 Registration more than eight weeks before the start date requires a 10% deposit.
8.2 Registration up to four weeks before the start date requires 50% payment. The remaining balance must be paid no later than four weeks before commencement.
8.3 Registration within four weeks of the start date requires full payment.

9. Cancellation by the Client

9.1 Any cancellation or modification must be communicated through email.
9.2 In the event of cancellation, both parties will first seek a suitable alternative arrangement.
9.3 If no suitable alternative can be agreed upon, the following cancellation fees apply:
Cancellation up to four weeks before commencement: 50% of the agreed amount.
Cancellation within four weeks before commencement: 100% of the agreed amount.
9.4 This also applies in cases of early termination, non-attendance, or withdrawal during the program.

10. Cancellation by Arya Armonica

10.1 Arya Armonica reserves the right to cancel or refuse coaching sessions, workshops, or training programs without stating reasons.
10.2 In such cases, any payments already made by the Client will be refunded in full, and no further obligations shall exist between the parties.

11. Rescheduling and Force Majeure

11.1 Arya Armonica reserves the right to reschedule or cancel appointments due to illness, incapacity, family emergencies, or other circumstances beyond reasonable control.
11.2 Sessions cancelled by the Client within 24 hours or missed without notice will be charged in full.
11.3 Arya Armonica may reschedule appointments if professional development activities or unforeseen circumstances interfere with service delivery.

12. Confidentiality

12.1 Both parties agree to maintain confidentiality regarding all sensitive or private information shared during the course of the agreement.
12.2 Confidentiality may be broken only where there is a legal obligation or serious risk of harm to the Client or others.
12.3 Where disclosure is required by law or court order, Arya Armonica shall not be liable for any resulting damages.

13. Liability

13.1 Arya Armonica provides services based on a best-effort obligation and does not guarantee specific outcomes.
13.2 The Service Provider maintains professional standards through continued education, supervision, and personal development.
13.3 Arya Armonica shall not be held liable for direct, indirect, emotional, or consequential damages resulting from decisions or actions taken by the Client.
13.4 The Client remains fully responsible for their own choices and decisions.

14. Complaints Procedure

14.1 Complaints regarding services must be submitted in writing within 14 days of the issue arising.
14.2 Arya Armonica will review the complaint carefully and work toward an appropriate resolution.
14.3 Complaints should include a clear and detailed description of the issue to allow adequate handling.

15. Audio and Video Recordings

15.1 In certain sessions, audio or video recordings may be used for therapeutic or educational support purposes, only with the Client’s explicit consent.
15.2 If recordings are retained rather than immediately deleted, they will become part of the confidential client file.

16. Amendments

16.1 The version of these Terms and Conditions applicable is the version valid at the time the agreement is entered into.
